Data protection Policy and Procedures
Purpose
The purpose of this policy is to maintain high standard in dealing with personal data collected from students in view of current guidelines and GDPR.
Scope
This policy and procedures are intended for all students and clients that undertake training with ER Training, and for ER Training staff that manages personal data.
Responsible personnel
ER Training is a business operated by Ross Mannion. He holds the overall responsibility for Data protection within the business, and can be contacted during working hours by phone (0879676700), info@ertraining.ie or by office address (12 Cluain An Oir Belgooly, Co Cork).
Ross Mannion is the person in charge for incoming and outgoing emails.
All data collected will be held legally and securely so that the information can be assessed only by Ross Mannion and Deborah Lanca. No other staff is employed.

ER Training will collect necessary data from our students as part of the delivery of PHECC training. We will store and share student’s information in accordance to GDPR related legislation.

For administrative purposes Ross Mannion & Deborah Lanca are the only two people who have access to student data and PHECC certificates.
For better course preparation students can contact us if they have any questions, queries or concerns before the course by email or by phone call. If necessary a meeting can be arranged.
Sharing of Personal Data
As per GDPR, ER Training will not be sharing personal data unless we get consent from the student. At the start of the course, the student is made aware in writing where their personal data may have to be shared. We will obtain this consent through the completion of a Student Data Protection Form that each student will obtain before beginning of training.
If requested by email the customers representative (ie duty manager of a Hotel) can receive copies of course sign in records, PHECC certificates and course feedbacks.
PHECC as a certification body will receive personal data to issue certification and for annual assessments of the courses.
In special circumstances, with students consent, we can forward his or her data to certain government departments or organisations. This is to apply for funding or payment support of the course. (i.e playschools etc)
Internal company revenue audits with our accountant may receive personal details for taxation purposes.
Admissions Policy and Procedures
Purpose
The purpose of this policy is to admit students to PHECC CFR C, CFR A and FAR courses.
Scope
The scope of the policy applies to applicant and E.R Training staff involved In the admissions process of E.R Training PHECC courses. E.R Training is committed to fair, transparent and consistent admissions practices and procedures. Our is aim to attract a diverse cohort of students and uphold commitment to Equality & Diversity. Admission is subject to meeting the minimum entry age requirement and course numbers of availability to register for one of our PHECC courses. Entry is subject to approval by E.R Training.

Procedures
Age Requirements
Course entry minimum age is 17 years old. Applicants under 17 years of age old must provide written consent from parent or guardian by means of completion of our Student Minor Consent Form. This form should be presented on the first day of training. Minors that present to engage in our courses without a completed and signed Student Minor Consent Form will unfortunately be denied access to the course and will receive a refund if part or full payment was received.
All our course age requirements for PHECC courses will be individually listed on our website pages. Any social media advertising of our courses will be linked to the specific course on our website to inform the student or companies about the age requirements. Companies / students will be informed about age requirements at course enquiry & booking stage by email. This email will contain a link to our website of our up to date Admission Policy And Procedures. Should a situation change after a booking has been completed E.R Training will not to be held liable for any direct or indirect consequential or special damages that maybe occurred due to a cancelation of an individual(s) course. This includes a minor presenting without a completed Student Minor Consent Form. ER Training will give as best as practical possible notice of changes to any age requirements in a timely manner.
English Language Requirements
As English is the teaching language of ER Training business, applicants whose first language is not English are required to complete English Language Competency Form to ensure proficiency and command of the English language.
Cardiac First Responder Advanced course admission requirements
The recommended minimum age entry for CFR-A course is 18 years of age. This course is designed for persons working or volunteering in the Emergency Medical Services, Fire and Rescue Services and for Healthcare Professionals. Proof is required from students that they are engaged in or working in the above mentioned services. This proof needs to be obtained one week prior to course delivery to check student’s authenticity. The criteria for admission to CFR -A is Emergency First Responder, EMT, paramedic and advanced paramedic.
Assessment of applicants
Admission is at the discretion of ER Training in accordance with approved entry criteria, such as our age requirements, English language and valid PHECC certificate for refresher courses.
Applying for a place does not guarantee that the student will gain access to the course. Where there are restrictions on a number of places that ER Training can make available, application will be granted on a basis “First come, first serve”.
Notifications of Decisions
Applicants will be notified of the outcome of their booking within 24 hours, and their course booking will be confirmed or denied by email.
Communication Policy and Procedures
Purpose
This policy is developed to ensure standards are being met while communicating with our clients, staff and the Pre-Hospital Emergency Care Council.
Scope
This policy is intended for our students and our staff, to give guidance on inter -communication and communication with PHECC.
Responsible person
Ross Mannion is responsible for developing, observing and maintaining standards of communication between all stakeholders.
Procedures
ER Training is committed to ensuring that any interaction with an applicant or enquirer is conducted in a professional and respectful manner.
The communication with the student can happen by phone, email or through our information listed on the webpage(s) or social media. When a client enquires about our courses we will give as much information about the course by means possible by way of oral discussion on the phone if they had not seen our website. We will advise them to visit our website for a more detailed explanation about the course(s) and our policies with respect to gaining learner information, data protection and admission, safeguarding and equality policy.
If client decides to book a course, they will be advised to book through email. Confirmation of the course booking will be sent back to the client through email, confirming the date and time of the course. A week prior to the course we will confirm the venue and deliver the student a timetable and advice on practical clothing. As well, we will send links that point to our website and relevant learner policies and Student Handbook.
During the course students will have opportunity to meet the instructor one to one and discuss any issues they may have. This opportunity for the Student – Instructor interaction will be made available before, during and after the course. These meetings will be recorded through our Instructor and Student Communication Report. Students will be given the opportunity you give feedback daily by our Daily Student Feedback Form or End of course Student Feedback Form. Our instructor will complete an Instructor Feedback Form at the end of the course.
After every course an Internal Verifier (Deborah Lanca) will review the paperwork collected during the course. If any issue arise, an immediate meeting will be held.
There will be a documented staff meetings every 6 months that will be recorded on Staff Meeting Form. At the end of the year there will be self-assessment done by ER Training, documented in compliance with PHECC guidance.
Recognition of prior learning Policy and Procedures
Purpose
Purpose of this policy is to provide clear guidance on recognition of prior learning for our students.
Scope
This policy is intended for guidance for our students who wants to apply for Recognition of Prior Learning, and for our staff that will review such applications.
Responsible person
Ross Mannion is responsible for communicating and reviewing applications for recognition of prior learning.
Procedures
ER Training is aware our students come from different backgrounds, with different knowledges they acquired. We are devoted in delivering the courses that will suit an individual, for satisfaction of our student and our instructor.
If students have prior learning that in their opinion can exempt them from part of the programme requirements, they can apply for Recognition of Prior Learning. They need to complete Recognition of Prior Learning Form in which they will state details about any prior learning. With the completed Form, they will need to attach any relevant certificate.
Ross Mannion will review the request and respond to the student in writing if their request is satisfactory and reasoning behind that.
For PHECC course refresher applications, E.R Training request that companies/individuals present an in date valid PHECC certificate 1 week prior to course start date. This request is done by receiving a scanned copy of their in date PHECC certificate emailed to info@ertraining.ie together with the Recognition of Prior Learning Form. In that Form, there will be consent from the student for ER Training to contact the issuing PHECC RI for confirmation of authenticity of the certificate. Ross Mannion will then go forward and complete the authentication.
Due to student practical skills depreciation and the requirement for class team participation and involvement in PHECC First Aid Responder (FAR) courses, students will be required to participate the course in full. This is applied to all students. Participants who have a valid in date PHECC CFR certificate will still be required to engage in the full PHECC FAR course including the PHECC CFR section. This applies to both PHECC First Aid Responder full 3 day course, and PHECC First Aid Responder Refresher course.
PHECC CFR A students on a PHECC FAR course will be allowed the opportunity to be upskilled from CFR C to CFR A at a suitable time for both the student and teacher. This will be at the discretion of ER Training’s availability and will be at no extra cost to the student.

Complaints Policy and Procedures
Purpose
ER Training aims to provide a high standard and quality of service to our students. Students are entitled to make an complaint if they are not satisfied with the service they have received. The purpose of this policy is to ensure all complaints are reviewed and resolved by consistent.
Scope
This policy is intended to all of our students, members of staff, associates or other members of the public who have a need to make a complaint related to work of ER Training.
Responsible person
Ross Mannion is responsible to deal with complaints. He will either directly deal with complaint, or appoint another employee to do so in his name.
Procedures
ER training takes complaints very seriously and deal with them in open manner. If one of our students, members of staff, associates or other members of the public have a need to make a complaint, they can do so in few ways.
At the end of every training day and at the competition of the course, students will have a chance to express their satisfaction or dissatisfaction through our Student Feedback Form. Students will be encouraged to give feedback through informal communication with our instructors at any time during course duration. We value any feedback as that allows for ER Training to enhance and improve delivery of our courses.
Every person can make an oral complaint by calling our office and directly discussing the matter with either Ross Mannion or Deborah Lanca who will then record the complaint. Every effort will be made by ER Training to deal and resolve the complaint received by Feedback Form or orally.
If person feels there is a need, they can make formal complaint.
A formal complaint can only be made by sending a written complaint either to info@ertraining.ie or sending a letter to our address (12 Cluain An Oir, Belgooly, Co Cork). This is separate from an End of Course Feedback Form. When complaint is received, an email or a letter will be sent to the person complaining, acknowledging that we received the complaint and confirming that we will give a response to complaint in maximum 2 weeks period. In a complaint letter person should provide their name and contact information. Complainant should describe the situation that led to complaint and time, date and location of event.
Ross Mannion or appointed person will investigate the event and interview all involved parties. When investigation is done he will make a written respond to the complainant. He will communicate the conclusions that came out of the investigation to all parties involved. If changes need to be done to policies or personnel, we will implement the changes. The outcome of the complaint will be final decision by ER Training.
